9 Simple steps to a successful online business meeting

Yesterday I had a business meeting with Revka about our business RS Design. It was a very good meeting and we have decided to make it a regular happening. A bit of structure is essential for any successful company.

We talked about the ongoing competition and upcoming events that RS Design will be a part of.

So how do you plan an online business meeting? Here are a few steps to follow to make sure you get the most out of your meeting;

1: Set a specific date and time each week or as often as needed.

2: Decide where you are having your meeting and how. We had a meeting through MSN Messenger. You can also have a meeting through Skype etc.

3: Write a list of things you want to go through during the meeting.

4: Be on time! Just because it’s an online meeting doesn’t mean you can roll in whenever you want to. Of course if you are having problems logging on or getting connected that is another thing.

5: Stick to the topic. You are not there to chat but to have an actual meeting. Off topic subjects can be handles after the meeting is finished if needed.

6: Assign someone to make a memo/pm of the meeting. Easiest is to save the conversation on the computer or copy into a word document and re-write.

7: When the meeting is finished make sure you (or the assigned) make a memo and send out the ones who attended the meeting and those who didn’t. That way you can always go back sand see exactly what you talked about. The memo should be written in points and straight to the facts. No unnecessary ramblings about who said what. Unless it makes a difference.

8: When you receive the memo go through it again and see what needs to improve.

9: Check the memo before the next meeting and repeat the process.
